Changes in drawings/processes

Occasionally, processes change. The name can be changed, or the position in the hierarchy can be changed. It may even become obsolete. Below are videos/explanations that explain everything that needs to be done when such changes occur to keep your system up to date and ensure that your data structure reflects these changes in an orderly fashion.

Change a drawing

Ultimately, all drawings will have process list items associated with them and their boxes. These process list elements store process documentation and make the resource summaries visible below the process map.

Ensure that any changes made to the process drawings are reflected in the process list items. In other words, change the process list to match the changes made to the drawings in the process map.

Archiving a process

When a process is no longer needed, it should be archived. Almost nothing, except draft items, should be deleted from the QMS. There are many links and you do not lose historical data by archiving. To archive a process, click on a box connected to the process > click on the pencil on the top right in the resource view and select “Show Process Card” > Edit Item > Untag Active and Selectable and save again. The process will then not be deleted and all links will be retained, but it will not be able to be seen by other users of the system and you cannot tag more information on this process. In other words, you keep all history.

  1. Go to the drawing

  2. Click on the pencil to enter the drawing program

  3. Click on the icon Sheet with a pencil “Edit page metadata”

  4. Make changes

  5. Click Save

Change the name of a process

  1. Click on a box that has this process

  2. Click on the pencil on the far right above the Process description

  3. Click “Show process map”

  4. Click “Edit”

  5. Make desired changes to the name

  6. Click Save

Change parent process and processtype of a process

Click the edit icon on the process, then show process card. Press parent process and select new process to be linked to.

Make a sub-process a parent process

If you want to change a sub-process and make it a parent process, you also press the edit button for the process and show the process card. Then press edit element and change parent process, press x on the right and you get this picture where you can choose a new process type:

is changed via the process list by pressing the title of the process, then you enter the process card.
